Terms and Conditions, Disclaimer, and Privacy Statement
Effective Date: September 16, 2026
This document explains the terms that apply when you request or use LuxeDox services, the limits of our professional role, and how we collect, use, protect, and share personal information.
Please read all three sections before submitting project materials or purchasing a service.
In this document, “LuxeDox,” “we,” “us,” and “our” mean the LuxeDox service and its owner or operating business. “Client,” “you,” and “your” mean the person requesting or purchasing services and anyone that person is authorized to represent.
By submitting a service request, approving a quote, paying an invoice, providing project materials, or using a completed LuxeDox document, you acknowledge that you have read and agree to these terms.
Part One: Terms and Conditions
1. Services and Scope
LuxeDox provides professional writing, document preparation, editing, and information-organization services.
Services may include letters, interview-based documents, Client-First Meeting Briefs, summaries, chronologies, reports, correspondence, and related materials.
The specific deliverable, purpose, scope, price, included interview time, revision allowance, and estimated completion date will be stated in the applicable quote, invoice, order form, or written project confirmation.
LuxeDox does not promise work beyond the confirmed scope.
2. Eligibility and Authority
You must be at least 18 years old and legally able to enter into an agreement to purchase LuxeDox services.
If you provide information or request services for another person or organization, you represent that you are authorized to do so and to permit LuxeDox to use the information for the requested project.
3. Pricing, Quotes, and Changes in Scope
Published prices are starting prices. Your exact price will be confirmed before work begins and may depend on length, complexity, urgency, interview time, the volume of supporting materials, formatting, and other project requirements.
Rush service, additional interviews, added pages or sections, extra revision rounds, attachment organization, customized recipient versions, or other work outside the confirmed scope may involve additional charges.
LuxeDox will obtain your approval before performing chargeable work outside the original scope.
LuxeDox does not provide printing, mailing, shipping, courier, filing, submission, or delivery services.
Completed documents are provided only as digital files emailed directly to the client.
4. Client Responsibilities
You are responsible for:
- Providing truthful, accurate, complete, current, and lawfully obtained information and materials.
- Having the right or permission to provide records, photographs, correspondence, or information concerning another person.
- Explaining the document’s intended purpose, recipient, required format, and any known deadline or submission requirement.
- Reviewing the completed document and confirming all names, dates, amounts, facts, statements, and requested actions before using it.
- Obtaining advice or review from an appropriately licensed professional when the subject requires legal, medical, tax, accounting, financial, therapeutic, or other professional judgment.
Please do not send passwords, payment card security codes, complete Social Security numbers, complete financial account numbers, or other highly sensitive identifiers unless LuxeDox confirms that the information is necessary and provides an appropriate method for sending it.
Please redact information that is not needed for your project.
5. Fees, Payment, Cancellation, and Refunds
All prices are stated in U.S. dollars unless otherwise indicated.
Payment is due according to the applicable invoice or project confirmation. Work may be delayed until the required payment and project materials have been received.
If you cancel before work begins, amounts paid will be refunded except for any nonrecoverable third-party charge disclosed to you.
If you cancel after work begins, LuxeDox may retain or charge a reasonable amount for work already performed and will refund any unearned balance.
If LuxeDox cancels a project and the parties do not agree on an alternative, LuxeDox will refund the portion paid for work that was not completed.
6. Timing, Email Delivery, and Communication
Turnaround dates are good-faith estimates unless LuxeDox expressly agrees in writing to a firm completion date.
Timing begins after the required payment, information, records, and instructions have been received.
Rush and priority services are subject to availability.
A document is considered delivered when the digital file is emailed to the email address provided by the client.
LuxeDox is not responsible for delays caused by incomplete or late client information, client response time, technology interruptions, third-party service interruptions, emergencies, or events reasonably outside our control.
You are responsible for keeping your telephone number and email address current and monitoring communications relating to your project.
7. Interviews, Revisions, and Corrections
When an interview is included, its length will be stated in the project confirmation.
Unless otherwise stated, the Interview to Document service includes one personal interview of up to 30 minutes.
Additional interview time is available in 30-minute increments at the published add-on rate or the rate stated in your quote.
After the completed digital file is emailed, the client has seven calendar days to review the document and notify LuxeDox of any requested changes or corrections.
One round of reasonable revisions is included during this seven-day review period unless the project confirmation states otherwise.
If LuxeDox introduced an error, we will correct it at no additional charge when notified within the seven-day review period.
A revision means a change consistent with the client’s original information, instructions, and agreed scope.
New information, a new recipient, a different purpose, substantial rewriting, or a change in direction may require an additional charge.
If LuxeDox does not receive a revision or correction request within seven calendar days after the digital file is emailed, the document will be presumed correct and approved, and the project file will be closed.
Changes or corrections requested after the seven-day review period will be treated as additional work and will be subject to availability and an additional charge.
Closing the project file ends the included review and revision period. It does not necessarily mean that all related business records will be immediately deleted. Information retention is addressed in the Privacy Statement below.
8. Digital File Delivery, Client Review, and Release
LuxeDox provides completed documents only by emailing the digital file directly to the client at the email address provided.
LuxeDox does not print, mail, ship, courier, file, submit, upload, release, forward, or otherwise deliver documents to any recipient, business, organization, government agency, medical provider, financial institution, court, or other third party on the client’s behalf.
This process allows the client to review the document carefully, request timely corrections, and retain complete control over whether, when, how, and to whom the document is released.
The client is solely responsible for:
- Reviewing and approving the completed document.
- Saving and maintaining copies of the digital file.
- Signing or notarizing the document when required.
- Printing, uploading, emailing, mailing, filing, submitting, or otherwise releasing the document.
- Selecting the recipient and method of delivery.
- Confirming that the document was received.
- Complying with any filing, submission, notice, or delivery requirements.
LuxeDox does not guarantee that a digital file will be compatible with every device, software program, online portal, or recipient system.
Once the client approves, uses, sends, files, submits, or otherwise releases the document, the client accepts responsibility for its contents and use.
9. Ownership and Permission to Use Materials
You retain ownership of the original materials you provide.
You give LuxeDox permission to access, copy, organize, edit, process, and use those materials as reasonably necessary to provide the requested service, maintain appropriate business records, protect legal rights, and comply with applicable law.
After full payment, you may use, copy, edit, sign, print, email, mail, file, submit, or otherwise release the final customized document for your personal or business purposes.
LuxeDox retains ownership of its preexisting templates, processes, methods, layouts, general language, and business knowledge.
LuxeDox will not publicly display a client’s document or identify a client in a portfolio, case study, or testimonial without permission.
10. Acceptable Use and Right to Decline Service
You may not use LuxeDox services to create or support unlawful, fraudulent, deceptive, threatening, harassing, defamatory, discriminatory, exploitative, or intentionally misleading content.
You may not impersonate another person or misuse another person’s private information.
LuxeDox may decline, limit, pause, or discontinue a request that appears inappropriate, unsafe, unlawful, misleading, unethical, outside our capabilities or scope, or better handled by a licensed professional.
We may also stop work if required information or payment is not provided or if continued work would expose LuxeDox or another person to unreasonable risk.
11. Third-Party Services
LuxeDox may use service providers for payment processing, scheduling, email, telephone or video communication, cloud storage, transcription, document processing, website operation, and related internal business functions.
These providers may assist LuxeDox in preparing and emailing the digital file to the client. They are not engaged to print, mail, ship, file, submit, or deliver the client’s document to its intended recipient.
Third-party providers operate under their own terms and privacy practices.
LuxeDox is not responsible for a third party’s independent actions, service interruptions, or policies, except where responsibility cannot legally be excluded.
12. Electronic Communications and Records
You agree that LuxeDox may communicate with you electronically and retain electronic records of quotes, approvals, invoices, project instructions, revisions, corrections, and completed work.
An electronic approval, payment, checkbox, typed name, or similar electronic action may be used to demonstrate your agreement where permitted by law.
13. Limitation of Liability
To the fullest extent permitted by law, LuxeDox will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost opportunities, loss of data, or adverse decisions by a document recipient.
To the fullest extent permitted by law, LuxeDox’s total liability for a claim relating to a project will not exceed the amount paid to LuxeDox for the specific service giving rise to the claim.
These limitations do not exclude liability that cannot legally be limited or waived, and they do not reduce any nonwaivable consumer rights.
14. Governing Terms
These terms and the applicable project confirmation constitute the agreement concerning the service and replace earlier discussions about that project.
If one provision is found unenforceable, the remaining provisions will remain in effect.
A failure to enforce a provision once does not waive the right to enforce it later.
Unless another law must apply, these terms are governed by the laws of the State of Florida.
Any legal proceeding must be brought in a court with proper jurisdiction serving the Florida county where LuxeDox’s principal office is located, unless applicable law requires a different location.
Part Two: Professional Disclaimer
1. We Write and Organize. We Do Not Advise.
LuxeDox is a professional writing, document preparation, editing, and information-organization service.
LuxeDox is not a law firm, accounting firm, medical practice, mental health practice, financial advisory service, investment adviser, tax practice, or other licensed professional practice.
LuxeDox associates do not act as attorneys, accountants, physicians, nurses, therapists, financial advisers, investment advisers, tax professionals, or other licensed professionals.
Our role is to help you organize and communicate information clearly.
We do not provide legal, medical, mental health, tax, accounting, investment, financial, or other regulated professional advice.
LuxeDox services are not a substitute for advice from an appropriately licensed professional who can evaluate your individual circumstances.
2. Legal Matters
LuxeDox does not interpret laws, determine legal rights or remedies, recommend legal strategy, select legal forms, calculate legal deadlines, represent clients, or prepare documents that require legal judgment.
LuxeDox may decline requests involving pleadings, contracts, wills, trusts, deeds, powers of attorney, bankruptcy, immigration, probate, or other legal instruments or proceedings.
If a request concerns a dispute, court, agency, contract, estate, property right, legal notice, appeal, or other legal matter, consult a licensed attorney before relying on or submitting any document.
Communications with LuxeDox are not protected by attorney-client privilege.
3. Medical, Mental Health, and Emergency Matters
LuxeDox may help organize a client’s symptoms, history, questions, concerns, or records for communication with a healthcare professional.
We do not diagnose conditions, recommend treatment, interpret medical records, evaluate urgency, or advise anyone to begin, stop, or change medication or care.
LuxeDox is not an emergency or crisis service.
Do not delay contacting 911, an emergency department, a crisis service, or an appropriate healthcare professional while waiting for a LuxeDox document.
Health-related information provided directly to LuxeDox may not receive the same legal protections that apply when information is held by a healthcare provider or health plan subject to HIPAA.
4. Financial, Tax, and Accounting Matters
LuxeDox may organize financial facts, questions, goals, records, or talking points.
We do not recommend investments, securities, insurance, tax positions, account transfers, withdrawals, budgets, debt strategies, or financial transactions.
Consult an appropriately licensed financial, tax, accounting, insurance, or legal professional before acting.
5. Client Information and Independent Verification
LuxeDox prepares documents from the information, records, instructions, interviews, uploads, notes, correspondence, and other materials supplied by the client.
We may organize, clarify, summarize, edit, or professionally present that information.
We do not independently verify every fact, identity, claim, date, amount, statement, record, or representation unless a separate verification service is expressly agreed upon in writing.
6. No Guarantee of Outcome
LuxeDox cannot guarantee that any letter, request, application, complaint, appeal, report, meeting brief, correspondence, or other document will produce a particular response, decision, approval, payment, adjustment, settlement, medical outcome, financial result, or other result.
The actions and decisions of recipients and third parties are outside LuxeDox’s control.
7. Deadlines, Filing, Submission, and Release
LuxeDox is not responsible for filing, printing, mailing, shipping, uploading, submitting, serving, releasing, or delivering documents to third parties.
LuxeDox does not determine where or how a document must be delivered, calculate legal or regulatory deadlines, monitor response dates, or decide whether a particular submission or delivery method satisfies a notice requirement.
The client remains solely responsible for all deadlines, filing fees, signatures, notarization, printing, uploading, mailing, submission, service, delivery, and proof of receipt.
The client should confirm all requirements directly with the intended recipient or an appropriately licensed professional before releasing the document.
8. Confidentiality Is Not Professional Privilege
LuxeDox treats client information as private and limits its use and disclosure as described in the Privacy Statement below.
However, communications with LuxeDox generally do not carry attorney-client privilege, physician-patient privilege, therapist-patient privilege, accountant-client privilege, or another professional privilege that may apply to communications with a licensed professional.
9. Professional Review
A document prepared for one purpose may not be appropriate for another.
Obtain professional review before using a LuxeDox document in a legal proceeding, regulatory matter, tax filing, medical decision, financial transaction, contractual dispute, insurance claim, employment action, or another matter requiring professional judgment.
Part Three: Privacy Statement
1. Scope
This Privacy Statement applies to personal information LuxeDox receives through its website, consultation and intake forms, interviews, email, telephone or video communications, payment and scheduling systems, uploaded project materials, and the preparation and email delivery of digital files to clients.
It does not control the independent privacy practices of websites or services that LuxeDox does not own or control.
2. Information We May Collect
Depending on how you interact with LuxeDox, we may collect:
- Contact and identity information, including your name, mailing address, city, state, ZIP Code, telephone number, and email address.
- Project and intake information, including your goals, instructions, interview responses, notes, correspondence, uploaded files, records, photographs, and supporting materials.
- Sensitive information you voluntarily provide, which may include personal, family, medical, financial, insurance, employment, business, or legal-adjacent information.
- Transaction information, including the service purchased, invoice amount, payment status, and limited payment information supplied by the payment processor.
- Communications, revision requests, corrections, approvals, customer-service records, and feedback.
- Website and device information that may be collected automatically, including IP address, browser type, device type, referring page, pages visited, dates and times, cookie identifiers, and security or diagnostic information.
3. How We Collect Information
We collect information directly from you, from someone you authorize, through forms and communications, from files you upload or deliver to us, and from payment and scheduling providers.
Information may also be collected automatically through website technologies such as cookies, logs, and analytics tools.
We may receive publicly available information when it is necessary for the service you requested and its use is lawful.
4. How We Use Information
LuxeDox may use personal information to:
- Respond to inquiries, conduct consultations, prepare quotes, and determine whether a request is within our scope.
- Conduct interviews and draft, edit, organize, format, and revise requested documents.
- Email completed digital files directly to clients.
- Process payments, maintain transaction and project records, and provide customer support.
- Communicate about appointments, questions, approvals, corrections, revisions, and project completion.
- Operate, secure, troubleshoot, and improve our website, systems, services, and internal processes.
- Prevent fraud, misuse, security incidents, or unlawful activity.
- Protect the rights and safety of LuxeDox, our clients, and others.
- Comply with applicable law, lawful process, tax and recordkeeping obligations, and our agreements.
5. Service Providers and Other Disclosures
LuxeDox does not sell or rent client personal information.
We do not disclose client documents for unrelated marketing purposes.
We may disclose information to service providers supporting payment processing, scheduling, communications, cloud storage, transcription, document processing, website hosting, analytics, security, accounting, or other necessary internal business functions.
LuxeDox does not provide client information or documents to printing, mailing, shipping, courier, filing, or document-delivery services for distribution to an intended recipient.
Completed digital files are emailed only to the client. The client decides whether, when, how, and to whom the document is subsequently released.
We may also disclose information:
- When you direct or authorize us to do so.
- To professional advisers assisting LuxeDox.
- To protect rights, safety, or property.
- In connection with a business sale, transfer, or reorganization.
- When required by applicable law, court order, subpoena, or other lawful process.
6. Technology and AI-Assisted Tools
LuxeDox may use technology providers, including cloud-based storage, transcription, document-processing, formatting, and AI-assisted writing tools, to help provide services.
Information is shared or processed only to the extent reasonably necessary for the requested work and related business operations.
These providers are governed by their own contractual and privacy obligations.
If you do not want AI-assisted tools used for your project, tell LuxeDox before submitting sensitive project materials.
We will tell you whether the service can be provided without those tools and whether that choice affects availability, timing, scope, or price.
7. Payment Information
Payments may be processed by a third-party payment provider.
LuxeDox ordinarily does not receive or store your complete payment card number or security code.
We may receive transaction identifiers, payment status, billing contact information, card type, expiration information, or the last four digits needed for receipts, support, fraud prevention, and business records.
8. Cookies, Analytics, and Website Technologies
The LuxeDox website and its service providers may use cookies, pixels, logs, or similar technologies for essential operation, security, preferences, traffic measurement, and analytics.
You may be able to limit cookies through your browser or device settings, although some website functions may not work properly.
Where required, LuxeDox will request consent before using nonessential cookies or similar technologies.
9. Sensitive Information
Some projects require sensitive information.
Please provide only what is reasonably necessary and redact unnecessary account numbers, identification numbers, medical details, names of unrelated individuals, and other private information.
If you submit information about another person, you are responsible for having the legal right or permission to do so.
10. Security
LuxeDox uses reasonable administrative, technical, and physical safeguards appropriate to the nature of the information and the size and scope of the service.
These measures may include access controls, secure accounts, reputable service providers, limited retention, and secure disposal practices.
No method of electronic transmission or storage is completely secure, and LuxeDox cannot guarantee absolute security.
11. Retention and Disposal
LuxeDox retains personal information only as long as reasonably necessary for the purposes described in this document.
These purposes may include completing the project, providing revisions or support, maintaining business and tax records, resolving disputes, enforcing agreements, and complying with applicable law.
Retention periods may vary according to the type and sensitivity of the information.
When information is no longer reasonably needed, LuxeDox will delete, anonymize, or securely dispose of it, subject to lawful archival backups and recordkeeping requirements.
Closing a client’s project file after the seven-day review period does not necessarily mean that all project information or business records will be immediately deleted.
12. Your Choices and Requests
You may contact LuxeDox to request access to, correction of, or deletion of personal information associated with your project.
Depending on the request, we may need to verify your identity or authority.
We may retain information when reasonably necessary to complete a transaction, maintain required records, establish or defend legal claims, prevent fraud, protect security, or comply with applicable law.
Depending on where you live, applicable law may provide additional privacy rights.
13. Email and Text Communications
LuxeDox may send service-related messages concerning consultations, invoices, project questions, approvals, digital file delivery, corrections, revisions, security, or changes to these terms.
If you separately consent to promotional email or text messages, you may use the unsubscribe instructions or contact us to opt out.
Opting out of marketing does not stop necessary service communications.
14. Children
LuxeDox services are intended for adults and are not directed to children under 13.
We do not knowingly collect personal information directly from a child under 13 through the LuxeDox website.
An adult client who provides information about a child must have appropriate authority and should provide only information necessary for the requested service.
15. Processing in the United States
LuxeDox is based in the United States.
If you access the service from another country, your information may be transferred to, stored in, and processed in the United States and other locations where service providers operate, subject to applicable law and the providers’ safeguards.
16. Changes to This Document
LuxeDox may update these Terms and Conditions, Disclaimer, and Privacy Statement to reflect changes in services, technology, business practices, or legal requirements.
The revised document will display a new effective or updated date.
Material changes will be communicated when required by law.
Changes apply prospectively unless otherwise stated or legally permitted.
